You’ve worked with us to create a thoughtful, sustainable design, and now it’s time for the contractor’s estimate. But then, the number comes in higher than expected. Deep breath. This is more common than you might think, and it doesn’t mean your dream is out of reach.

Let’s walk through what happens next, and how we at Waldron Designs help you navigate this crossroads with creativity, transparency, and care.

Why Do Budgets Get Busted?

Even with the best planning, budgets can be challenged by:

  • Changes in material or labor costs

  • Unforeseen site conditions or code requirements

  • Evolving project scope or wish lists

  • Inaccurate initial estimates or missed details

That’s why we always recommend building in a 10–20% contingency fund and having honest conversations early and often.

Our Process: Keeping You in the Loop

1. Early Reality Checks

Before we ever put pen to paper, we talk budget and scope. If you already have a contractor in mind (our favorite scenario!), we’ll reach out and confirm: “Here’s the vision, here’s the budget-does this feel realistic?” At this stage, it’s all about ballpark figures, based on our experience and recent projects.

If you don’t share a budget with us, we take that as a sign you might not have one set yet-and that’s totally okay! It means we’re free to dream big and design without limits. 2. Schematic Design & ROM Estimates

Once we’ve sketched out your dream, we encourage you to get a Rough Order of Magnitude (ROM) estimate from your contractor. This isn’t a final bid, but it’s a crucial pulse check. If you choose to skip this step, the risk of sticker shock later increases.

If the numbers come in higher than expected, don’t let that be a deal-breaker or a reason to drop the project. Instead, it’s a gentle nudge to pause, re-evaluate the scope, and consider different methods or materials. This is part of the journey toward a home that honors both your vision and your budget.

3. Design Development & Pre-Construction Services

As your design evolves, we recommend bringing your contractor into the process. Ask if they offer pre-construction services for a fee. This means they’ll review drawings, consult on constructability, and provide updated estimates-so you’re never in the dark. We believe in paying contractors for their time and expertise, and it keeps the process moving (no three-week waits for numbers!).

4. Final Estimates at Construction Documents

By the time we reach construction documents, your estimate should be solid. If the number is still too high, don’t panic. It doesn’t mean your designer went wild with luxury finishes or your contractor is inflating costs. It simply means it’s time for value engineering.

Value Engineering: Reimagining Without Sacrificing Soul

Value engineering is our chance to get creative. Together with your contractor, we’ll review every line item-starting with the big-ticket ones-and explore smart substitutions or adjustments. Maybe that dream soapstone countertop becomes a gorgeous, durable quartz with the same look. Or perhaps we revisit plumbing fixtures, cabinetry details, or even phase the project, focusing on essentials now and saving the rest for later.

I got my bachelor's degree in interior design from Washington State University - a CIDA-accredited school - in 2005, immediately moved into a leadership position and have continued designing with passion.
