Contractor Selection Timeline & Updated Drawings

Thank you so much for your thoughtful email—and for your fantastic project management approach! We’re completely aligned with your thinking and truly appreciate your clarity and focus on keeping things efficient for everyone involved.

Contractor Outreach & Timeline

Just to reassure you, we haven’t been spending significant time with the contractors; our recent outreach has simply been to confirm receipt of our emails, as we hadn’t heard back from a few we expected responses from. We’re keeping things streamlined and focused, as always.

Your proposed schedule looks excellent and very workable from our perspective. We’re happy to move forward as you’ve outlined, and we agree that narrowing down to three contractors for site visits and final bids is the most efficient path. If your ideal is to have a final decision by the end of June, we can certainly prioritize that and help keep things moving swiftly.

Here’s a quick summary of our next steps based on your timeline:

• May 30: We’ll confirm the final list of interested contractors and coordinate with Woods/James to determine who moves forward. We’ll then send the updated timeline to the selected contractors.

• June 6: Contractors submit any questions or needs for initial bids.

• June 20: Receive initial bid estimates.

• June 27: Review bids together and narrow to 2–3 finalists.

• June 30–July 9: Site visits with the finalists.

• July 11: Final bids due.

• July 14: Final contractor selection.

If we’re able to accelerate any of these steps, we’ll absolutely do so and keep you updated in real time.

Updated Drawings & Documentation

The revised drawings and all documentation shared with the general contractors are available in your client portal, under the “Docs” folder (specifically the folder dated 25_0507). This includes everything we provided to the contractors. If you’d like, we’re happy to resend the updated presentation directly or walk you through any of the changes in a quick call.
